Personal Data collected and the reasons for processing

This Privacy Policy explains how World Family English (“we” or “WFE”) uses Personal Data that we collect about individuals where we do so as a “data controller” in operating our website and digital products and services.

We use the words Personal Data to describe information by which you may be personally identified, such as name, postal address, email address, telephone number or information which, even if by itself does not identify you, can be combined with other information to identify you.

1. How we obtain Personal Data, what we use it for, and how long we keep it 

The following table describes when we may collect and hold Personal Data, the type of data collected, what we use it for, and the length of time we keep it.

Where we use an online third-party service provider to process payments and you authorize a payment, your bank details go directly to the service provider and WFE has no access to them, although we receive confirmation that the payment has completed.
Where we hold Personal Data in order to provide a product or service, we will keep the information for at least as long as we provide the product or service, and for a number of years after that, which may vary based on the requirements of a local jurisdiction and will be retained for a longer period in the event of legal or prospective legal proceedings.
When consenting to marketing communication. Your name, date of birth, phone number(s), email address, physical address. To communicate with you in relation to World Family products and services that may be of interest to you. From time of consenting until you opt out.
When authenticating you in relation to products and services that you have purchased from us or from our affiliate companies. Your country, member number, member name, phone number.

We may also collect from the databases of WFE group companies, information that is associated with your member number, including customer unique identifier number(s), membership status, display name(s), birthday(s), physical address, phone number, region, gender, date(s) of birth, Child Achievement Program level(s).
To identify you in our records and give you access to the products and services that you are entitled to.

To personalise the appearance or functionality of products and services.
Three years from your last successful login.

Where information is stored locally on your device, it will continue to be available there and may be collected again online if you connect to the internet.
When using a WFE digital product or service that is online or connects to the internet from time to time. Your identity, region, device geolocation, device information, network information (connected Wi-Fi), online identifiers (IP address, MAC address), usage data, metrics of completion and success for content, games, activities, etc., installed apps (access time and date, apps installed on the device, apps’ usage statistics), user-generated content, video or audio recordings for any synchronous online lessons, file system information. To provide you the functionality of the product/service, optimise it, provide any support, and to carry out product research and development. We delete online information three years after collection. Where information is stored locally on your device, it will continue to be available there and may be collected again online if you connect to the internet.

Analytical information that we anonymise may be held for longer.
When applying for a WFE job. Your application correspondence and curriculum vitae. To evaluate your suitability for the job. Two years from receipt.

Automatically generated information such as your usage history (access logs), cookies, IP information, browsing history, MAC address may be collected while using a WFE website or online product or service. 

In all cases, we may also use Personal Data for the following additional purposes: 

  1. Analysing the usage of our products and services and optimizing them, staff training, improving our business operations or tailoring service offerings and advertisements. 

  2. Maintaining records relating to business activities, customer relationships and sales. 

  3. Ensuring IT network and information security. 

  4. Complying with legal and other requirements, record-keeping and reporting obligations, conducting audits, compliance with requests from government or other public authorities, responding to legal process such as subpoenas, summons or warrants, pursuing legal rights and remedies, defending litigation and managing any complaints or claims and conducting investigations. 

  5. Complying with other legal obligations to a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all our assets, in which your Personal Data held by us is among the assets transferred. 

 Our products and services are occasionally marketed to children under the age of 13. However, we never use the Personal Data of any child without express permission from a parent or legal guardian. 

No sensitive personal data should be or is required to be submitted to us in order to register for a membership with us or use any of our products or services. By sensitive personal data we mean information concerning your race or ethnicity, social status, sexual orientation, genetic or biometric data, religious or philosophical views, political opinions or affiliations, trade union membership, health or medical history, criminal record or the fact of having suffered damage by crime. 

If you decline to provide your information to us or request it to be deleted, then there will be no effect on your ability to use our website. However, refusal to provide Personal Data may prevent you from accessing World Family digital products and services that require authentication and may impact our ability to effectively address customer-service requests from you or provide you with customized offers. 

 

2. If you are in the Republic of Korea, the following applies with regard to the processing of Personal Data of children under 14 

Children under the age of 14 must have the consent of their legal representative to register for any digital products or services operated by us. WFE has established and operates a separate procedure to obtain the consent of the legal representative. The legal representative of a child may request to view, correct, or withdraw consent to store the personal information of a child, and in such cases, WFE will implement this request without delay.

Display name is kept for 15 months. Video or audio recordings are kept for 6 weeks.
Zendesk (USA) User messages and profile information. To provide personalised customer support. 120 days.

 4. Transfers of Personal Data 

For the purposes set out above we may, from time to time, transfer Personal Data to third parties located in other countries. 

  • When making these transfers, we will take steps to ensure that your Personal Data are adequately protected and transferred in accordance with the requirements of data protection law. 

  • This may involve the use of data transfer agreements, for example, in the form recognised by data protection law as ensuring an adequate level of protection for Personal Data transfer. 

  • For further information about these transfers and to request details of the safeguards in place, please contact us using the details set forth in 11 below. 

5. Retention of Personal Data 

Details of the length of time we retain different types of Personal Data are indicated under 1 above. Note that where we hold Personal Data to comply with a legal or regulatory obligation, we will keep the information for at least as long as required to comply with that obligation.

6. Destruction of Personal Data 

Once the retention period for your Personal Data has expired, it is destroyed.  

Personal Data printed on paper will be destroyed by shredding or incineration, and Personal Data stored in electronic files will be deleted using technical methods that make the records unrecoverable. 

7. Your Personal Data rights 

The following is a summary of the data protection rights available to individuals in connection with their Personal Data. These rights may only apply in certain circumstances and can be subject to certain legal exemptions. 

  • You may request access to or a copy of your Personal Data. 

  • You may rectify inaccurate Personal Data held about you. 

  • You may request us to erase your Personal Data. 

  • You may restrict (or suspend) the processing or use of your Personal Data. 

  • You have the right to data portability of the Personal Data you have provided to us. 

  • You may object to the processing of your Personal Data. 

  • You may withdraw any consent, such as the consent given by filling out an information request form from us, that you provided us to collect and process your Personal Data. 

  • You may complain to the Data Protection Commission or other such regulatory authority of your jurisdiction in the event you have a complaint or believe your rights have been infringed (we request that you also bring these matters to our attention so that we may work with you to resolve the issue quickly).

8. Linked websites or materials 

WFE may provide you with links to other companies' websites or materials. In these cases, we have no control over these sites and materials and therefore cannot be responsible for and do not endorse the usefulness of any services or materials you receive from them. If you click on a link that we include and you are taken to a page on another site, please be aware that the privacy policy of that site is independent of us and that you should consult the policy of the new site you visit. 

9. Administrative, technical and physical safeguards to protect your privacy 

In handling your Personal Data, WFE takes the following measures designed to secure your Personal Data from accidental loss and from unauthorized access, use, alteration, and disclosure.  

Administrative safeguards 

  • We document our policies regarding handling of Personal Data and conduct regular training of Personal Data handlers, educating them about their responsibilities and these policies. 

  • We limit access to your Personal Data to the minimum number of employees, agents, third parties needed for the task. 

Technical safeguards 

  • Microsoft Azure account information is encrypted at rest. We use HTTPS for encryption at transmission.  

  • Access to Microsoft Azure AD B2C is limited to authorised system administrators and all access is logged.  

Physical safeguards 

  • We make use Microsoft Azure, whose servers are located in physically secure locations, for storage of all account information. 

Unfortunately, the transmission of information via the internet is not completely secure. Although we take the above measures and others to protect your Personal Data, we cannot guarantee the security of your Personal Data. Any transmission of Personal Data is at your own risk.  

The safety and security of your Personal Data also depends on you. For example, where you have chosen a password for access our services, you are responsible for keeping this password confidential. 

Further, we reserve the right to change, modify, and update the above technical and administrative measures from time to time.  

10. Opting out of automatic Personal Data collection  

WFE installs and operates technologies that automatically store and retrieve information about users from time to time, such as browser cookies. A cookie is a very small text file sent to your browser by the WFE website server and stored in your computer’s memory. You have a choice about the installation of cookies. You can refuse or limit their installation by selecting the appropriate option presented by your web browser (e.g. “accept all cookies”, “confirm each time a cookie is saved”, or “refuse all cookies”.) If you refuse all cookies, this may have an impact on the services provided by the website. 

You can change how your browser deals with cookies or delete them in your browser’s settings. For commonly used browsers, these setting can be accessed as follows:
